The organisation

Fife Chamber of Commerce is the biggest business membership organisation in Fife. We offer a wide range of events and services to our growing membership, and we are looking for someone to join our team to help us grow our membership and provide them with improved services.

The job

Exports: Following training, you will give exporters guidance on how to complete the official documents they need to complete before they can export their products, and then manually or electronically review the documents they submit before signing them to verify their accuracy. You will also record and file the documents once they have been approved.

Office: You will be responsible for dealing with incoming telephone calls and acting as first point of contact for visitors to our office, processing membership applications, adding or updating member and event data onto our CRM system and general office administration.

Events: You will provide administrative support for a programme of events for our exporters. Your duties will include liaising and negotiating with venues and sponsors, issuing invitations, compiling delegate lists, sending reminder notifications and delegate registration and feedback.

The person

Previous experience of working in a busy office is essential and you must possess an excellent working knowledge of Microsoft Word, Excel and Outlook. Strong organisation skills, and accuracy and attention to detail are a pre-requisite.

This is a customer-focused role and you must possess exceptional communication skills and always adopt a friendly and professional manner when engaging with customers, whether face-to-face or over the phone. You will be comfortable dealing with people at all levels, from administrator to executive.

You must thrive in a busy and demanding role, where multitasking and organising a large workload is the norm, and maintaining high standards when working under pressure is expected.

You will be a team player who can take direction easily, while demonstrating flexibility, adaptability and the ability to work on your own initiative. You will be an innovator, whose first thought is always: “how can this be done better?”

Some existing knowledge of international trade or experience of processing export documents, and familiarity with ez-Cert, would be an advantage but it is not essential as full training will be provided.

Some prior experience in basic financial administration is desirable but not a pre-requisite.

Your standard working week will be 28 hours but a flexible approach will be required to meet the needs of the post.

Our preferred working pattern for the position is full-time Monday to Thursday (9am to 5pm) but we are willing to be flexible to get the best person.

The post is principally office based but attendance at meetings and events elsewhere will be required.
